What the price excludes
Quoted prices are ex-works for the unit. Between the quote and a working machine sit costs that are easy to underestimate on a 500–750 kg crate:
- Freight and duty. Weight and volume both bite, and tariff classification for robotic beverage equipment is not always obvious. Get this quoted, not estimated.
- Power. These units want a dedicated circuit. Retro-fitting one into a finished concourse or a listed hotel lobby is often the largest single line outside the machine.
- Water. Plumbed units need a supply and a drain; tanked units trade that for a manual fill in the daily service round.
- Access. Lift dimensions, floor loading, and door widths. A 750 kg unit that cannot reach the intended floor is a total loss.
- Payments and network. Merchant account setup, terminal certification, and a connection the machine can rely on.
- Commissioning and training. Someone has to calibrate the grinder to your beans and teach the site team the daily round.
$4,500 is a reasonable planning figure for a straightforward installation. A difficult site can double it.
Cost per cup
Running cost splits cleanly into costs that scale with cups and costs that don't — and the ones that don't are what sink low-volume sites.
- Scales with volume: consumables at roughly $0.55 a cup for beans, milk, cup, lid and syrup; card processing at 2.9% of gross; and any site revenue share, here 15%.

Two things stand out. The machine is 10% of five-year cost at the busy site and 20% at the quiet one — so haggling over the purchase price is close to irrelevant next to picking the right location. And consumables plus the daily service visit together dominate both columns.
These are modelled figures, not audited results. Change the ticket price or the site share and the totals move sharply; the structure of the cost, which is the useful part, does not.
Buy, lease, or robotics-as-a-service
- Outright purchase. Lowest total cost, all the risk. Sensible when you have a proven site and the volume to justify it.
- Equipment lease. Converts capital into a monthly line and preserves cash. Costs more overall; you still own the operational risk.
- Robotics-as-a-service. A fixed monthly fee bundling machine, support, and parts. Most expensive per cup, but obsolescence and breakdown risk sit with the supplier — which matters in a market where machines are still changing quickly.
- Revenue share. The supplier places the machine and takes a cut. Nearly free to start and the most expensive at volume. Useful for proving a site before committing.
The honest test: if you are unsure the site clears 15 cups a day, do not buy. Prove it on a revenue-share or short lease first.
Against staffing an espresso bar
The comparison people expect is machine price against barista salary, and it is the wrong one. A staffed bar carries its own fit-out capital, and a robot still carries a daily human visit. The real difference is shape: a barista costs a full shift's wage whether five customers come or fifty, while a machine costs its fixed daily service plus consumables.
So automation wins decisively in exactly two situations — long opening hours with thin demand, such as the overnight window no café can staff profitably, and sites too small to justify a person at all.
