Robot baristas for corporate offices

Offices are the one environment where the machine usually sells nothing, so payback is the wrong measure. The question is what a cup costs all-in, and whether one unit can survive 09:00.

The pantry problem

Office coffee sits awkwardly between a cost line and a retention line. Filter urns and pod machines are cheap and nobody values them. A staffed micro-café is valued and rarely survives a budget review. Meanwhile a meaningful share of the working day is spent walking to a café and back, and the employer pays for that time without recording it anywhere.

A robot barista is an unusual fit here because the usual argument — that it trades hours a person cannot — matters less than the fact that it delivers café-grade espresso at a cost that is nowhere near café pricing.

Cost per cup on a free-vend model

Most office deployments are free-vend: no payment, no revenue, no card processing. That removes payback from the conversation entirely and leaves one number that matters.

At 60 cups a day, a $29,500 machine amortised over 5 years — plus consumables at $0.55, a 30-minute daily service round at $11, and $6 of power and connectivity — delivers a cup at about $1.10. Against roughly $4.75 at a nearby café, the same drink costs the business around 23% of what a subsidised café allowance would.

The sensitivity worth understanding: the service round and the machine are fixed, so cost per cup falls sharply with volume and rises sharply without it. Halve the cups and the all-in figure roughly doubles. Sizing this against real headcount rather than hope is the whole exercise — the cost model shows the same effect across every environment. These are modelled figures, not audited results.

Which machine

Siting and services

  • Floor loading — over 700 kg, which is a real question above ground level
  • A dedicated circuit — these are not a spare-socket appliance
  • Water and drainage, or a tanked unit with the refill written into the round
  • Rear clearance for service access, and a goods lift the crate fits
  • Noise — grinders next to a desk bank or a meeting room will generate complaints
  • Milk logistics — fridge capacity and a delivery cadence that survives a Monday

What to watch for

  • A synchronised arrival peak. The single most common reason an office machine disappoints. Fixed start times concentrate demand into fifteen minutes and no single unit clears that.
  • Unowned service. Office facilities teams absorb the daily round or the machine dies quietly. Name the owner before you order.
  • Hybrid-working volume. Model on real attendance, not headcount. A 300-person office at 40% attendance is a 120-person office.
  • Too little volume for the format. Below roughly 25 cups a day the fixed costs dominate and a good bean-to-cup machine is the honest recommendation. We will tell you when that is the case.

It depends on how concentrated the demand is. A 70 cups/hour machine sustains roughly 45 to 50 real cups an hour. A 300-person office that all wants coffee between 08:45 and 09:15 needs about 10 drinks a minute, which no single machine in this class delivers. Offices with staggered arrival patterns are much better candidates than those with a fixed start time.

Does a robot barista fit in a standard office pantry?

Compact enclosed units occupy roughly 1.89 m², which fits the space a bank of vending machines already occupies, but they stand about two metres tall and weigh over 700 kg. Floor loading on an upper storey and clearance at the rear for service access are the two constraints that most often rule a pantry out.
